Run a short morning huddle from today's counts

A ten-minute standing huddle agenda built from today's schedule counts, with one action and a suggested owner for each.

The prompt

Paste it into ChatGPT, Claude or Gemini and fill in each part in [BRACKETS]. Practice owners and office managers who lead the morning huddle.

I run a dental practice. Our morning huddle runs long or gets skipped. I want a short agenda I can read from, built from today's counts, so the whole team knows where the day is thin and who is on what.

What I have:
- Today's open time in the doctor and hygiene columns: [OPEN TIME TODAY]
- Today's appointments not yet confirmed: [UNCONFIRMED TODAY]
- New patients on today's schedule: [NEW PATIENTS TODAY]
- Patients today with a balance to collect at checkout: [BALANCES DUE TODAY]
- Who is working today, by role or first name: [TEAM TODAY]

What I want:
1. Write an agenda the team can get through in ten minutes, standing.
2. Open with the day in two sentences: how full it is and where the gaps are.
3. For each count, give one action and suggest who takes it, using only the people I listed.
4. Leave a blank line at the end for anything I want to add.

Rules:
- Write a draft for me to read. Do not send anything.
- Use only what I gave you. If something is missing, ask me instead of guessing.
- Never invent a number, a name or a task I did not give you.
- Work from counts only. Leave out anything about a patient's health, treatment or history. Clinical notes are for the dentist to cover from the chart, not this agenda.
- Suggest who takes each task. I make the call in the room.

Give me back:
- The agenda, short enough to read aloud in two minutes
- One action line for each count

When to use it

Before the first patient, when the team has a few minutes together and you want everyone looking at the same day.

When not to

Do not use it to go over a patient's care, medical alerts or history. The dentist covers those with the clinical team from the chart.

What to paste in

  • [OPEN TIME TODAY]: Open time today in the doctor and hygiene columns, as totals and start times.
  • [UNCONFIRMED TODAY]: How many of today's appointments are not confirmed.
  • [NEW PATIENTS TODAY]: How many new patients are on today's schedule.
  • [BALANCES DUE TODAY]: How many patients today have a balance to collect at checkout. The count only, no amounts.
  • [TEAM TODAY]: Who is working today, by role or first name.

Never paste

  • Patient names, birth dates, phone numbers or insurance IDs
  • The day sheet or any schedule that shows names or appointment types
  • Anything about a patient's health, treatment, medical alerts or history

A filled-in example

Sample. Fictional business, fictional client.

OPEN TIME TODAY: Doctor 1 hour at 2 pm; hygiene 30 minutes at 10 am and 1 hour at 3 pm
UNCONFIRMED TODAY: 4
NEW PATIENTS TODAY: 2
BALANCES DUE TODAY: 6
TEAM TODAY: The dentist, two hygienists, two assistants, Dana and Lee at the front desk, office manager in at 10

What you should get back

  • A ten-minute standing agenda that opens with the day in two sentences
  • One action for each count, with a suggested person for each
  • Nothing about any patient's care, which stays with the dentist
  • A blank line at the end for anything you want to add

What stays with you

The prompt writes a draft. You decide what happens to it, and nothing should reach a patient until you have read it. Decisions about money stay with a person every time, and so do health questions and complaints. When KeenHand builds a routine like this, every message carries the same four decisions: Automate, Approve, Revise, Reject.
