Free ChatGPT prompts for gym and studio owners
Each prompt fits a moment every gym or studio owner knows: the trial guest who asks at nine at night, the regular who has missed three weeks, the card that failed on the first of the month. Paste one into ChatGPT, Claude or Gemini, fill in the brackets and read the draft before anything reaches a member. Injuries, health questions and money calls stay with you.
Front desk and inquiries
- Answer a trial class inquiry from your schedule. A reply to someone who wants to try a class, with real times from this week's schedule and one clear way to book the trial.
- Help a nervous beginner pick a first class. A kind reply to someone who worries they are not fit enough, pointing them to the class you already start new people in, with no fitness advice.
- Move member texts off your personal phone. A reply, a notice for members and a saved line that move texts from your personal number to the studio's line without anyone feeling brushed off.
Bookings and no-shows
- Follow up a trial guest who did not show. A no-guilt message to someone who booked a trial class and did not come, with two real times to try again and a shorter nudge for later.
- Check in with a member who stopped showing up. A short, personal check-in for a regular who has missed booked sessions or stopped booking, written to bring them back before they cancel.
- Tell booked members a class is cancelled or moved. A clear message to everyone booked into a class that changed, with the change in the first line and the other classes they can join instead.
Quotes and money
- Tell a member their membership payment failed. A friendly first notice for a member whose card was declined, with the one step to fix it, and a firmer notice held for your approval.
- Answer a membership freeze or cancel request. A clear reply to a member who wants to freeze or cancel, stating your policy and the decision you already made, with no guilt and no hard sell.
Marketing and reviews
- Invite back members who left on good terms. Short messages for former members, grouped by how long they have been gone, that lead with what is new and make coming back one easy step.
- Reply to reviews of your classes and coaches. Short public replies to this week's reviews that thank coaches by name, answer fair criticism plainly and never discuss anyone's membership.
Back office
- Find a sub when a coach cannot teach. One clear sub request to the coaches who can teach the class, a confirmation for whoever takes it, and a thank-you for the rest.
- Build a front desk answer sheet from your rules. One page of the questions your desk hears every day, each answered in your words from your own policies, with a list of what goes to you.
The owner's desk
- Spot members who are slipping before they cancel. A weekly read of your attendance export: who has dropped off their usual pattern, which new members have not settled in, and who to reach first.
- Decide which classes to keep, move or cut. A plain read of how full each class has been, with options to keep, move, merge or cut, so you set next season's schedule from numbers.
For any local business
The general prompts work for every trade: a one-week test, a playbook for what may go out alone, four numbers to count. For where the hours go in a gym or studio, see AI for gyms and studios.
