For med spa owners · Front desk and inquiries

Answer a treatment price question

A reply to a price question that explains how you price the treatment and books a consultation, without quoting a number before the provider sees them.

The prompt

Paste it into ChatGPT, Claude or Gemini and fill in each part in [BRACKETS]. Med spa owners and whoever answers the front desk messages.

I run a med spa. Someone has messaged asking what a treatment costs. The real answer depends on what the provider recommends at the consultation, so I want a warm reply that says so and gets them booked for one.

What I have:
- The client's message, word for word: [CLIENT MESSAGE]
- How I price this treatment, in my own words: [HOW I PRICE IT]
- How a new client books a consultation: [CONSULTATION BOOKING]
- How I sound with clients: [MY TONE]

What I want:
1. Read the message and note what they asked, including anything besides the price, like an opening.
2. Write a short reply in my tone that thanks them and explains, in one or two sentences, why the price is set at the consultation.
3. Give them one next step to book the consultation, using only the booking path I gave you.
4. If they asked whether the treatment would work for them or is safe for them, say only that the provider answers that at the consultation.
5. List anything in their message my notes do not cover as a question for me.

Rules:
- Write a draft for me to read. Do not send anything.
- Use only what I gave you. If something is missing, ask me instead of guessing.
- Never quote a price, promise an opening or claim anything I did not give you.
- Name the service only as the client named it. Leave out anything about their health, past treatments or history, even if they mentioned it.
- Do not give medical advice or say what results to expect. That is my provider's call.

Give me back:
- The reply, ready for me to edit
- Anything in their message you could not answer from my notes

When to use it

Someone messages asking what a treatment costs, often 'how much for lips' or 'how much per unit', usually before they have ever been in.

When not to

Do not use it to tell someone whether a treatment is right for them, to answer a question about a reaction or a medical condition, or to give a firm price. Those go to you or your provider.

What to paste in

  • [CLIENT MESSAGE]: The message as the client sent it, without their name or number. Cut anything they wrote about their health, medications or past treatments.
  • [HOW I PRICE IT]: One or two sentences on how the price is set, for example by the amount the provider recommends at the consultation.
  • [CONSULTATION BOOKING]: How a new client books a consultation: a link, a phone call, or a reply with two times that work.
  • [MY TONE]: Three or four words for how you sound, or a reply you have sent before that you liked.

Never paste

  • The client's full name, phone number or card details
  • Anything they told you about their health, medications, past treatments or reactions
  • Photos of the client's face or body

A filled-in example

Sample. Fictional business, fictional client.

CLIENT MESSAGE: Hi, how much do you charge for lips? Also do you have anything Thursday after work?
HOW I PRICE IT: Lip filler is priced by how much product the provider recommends at the consultation.
CONSULTATION BOOKING: Book a New Client Consultation in our booking app, or reply with two times that work.
MY TONE: Friendly, calm, no pressure.

What you should get back

  • A short reply in your tone that explains the price is set at the consultation
  • One clear next step to book that consultation
  • No price, no promise about results, no Thursday opening you did not confirm
  • A list of anything you need to answer yourself

What stays with you

The prompt writes a draft. You decide what happens to it, and nothing should reach a client until you have read it. Decisions about money stay with a person every time, and so do health questions and complaints. When KeenHand builds a routine like this, every message carries the same four decisions: Automate, Approve, Revise, Reject.
