For med spa owners · Bookings and no-shows
Remind regulars it is time to book again
Rebooking reminders for clients who come back on a schedule, written so a text read on a lock screen never names the treatment.
The prompt
Paste it into ChatGPT, Claude or Gemini and fill in each part in [BRACKETS]. Med spa owners and whoever sends reminders from the booking app.
I run a med spa. Many of my clients come back on a schedule their provider set, and some drift past it without booking. I want a short set of reminders that sound like me. Texts show on lock screens and get read by partners and coworkers, so the treatment is never named. What I have: - The groups I remind, by how long since their last visit, with no treatment named: [CLIENT GROUPS] - How a client books with the same provider: [BOOKING PATH] - Anything I offer returning clients, word for word, or none: [RETURNING CLIENT OFFER] - How I sound with clients: [MY TONE] What I want: 1. For each group, write one short text and one slightly longer email. 2. Leave fill-in spots for the client's first name and their provider's first name. 3. Say it may be time to book their next visit with that provider, and give the booking path. 4. Make the later groups softer, not pushier, and give each one an easy way to say no thanks. Rules: - Write a draft for me to read. Do not send anything. - Use only what I gave you. If something is missing, ask me instead of guessing. - Never quote a price, invent an offer, promise an opening or claim anything I did not give you. - Leave out anything about a client's health, treatment or history. Never name the treatment, the area treated or the product. - Do not say a treatment is needed, wearing off or overdue, and say nothing about results. Give me back: - A text and an email for each group - The fill-in spots I need to match to my booking app
When to use it
Clients who come back on a schedule their provider set have drifted past their usual window without booking, and you want a reminder that sounds like you.
When not to
Do not use it to tell a client they need a treatment, or to answer a question about results or a reaction. Those go to your provider, and a client who left after a complaint hears from you.
What to paste in
- [CLIENT GROUPS]: Two or three groups by time since the last visit, for example a few weeks past their usual window and a few months past it. No names, no treatments.
- [BOOKING PATH]: How a client books with the same provider: a link, a call, or a reply.
- [RETURNING CLIENT OFFER]: An offer you already run for returning clients, word for word, or the word none.
- [MY TONE]: Three or four words for how you sound, or a reply you have sent before that you liked.
Never paste
- Client names, numbers or lists exported from your booking app
- Which treatment each client had, how much or where
- Any health details or notes from past visits
A filled-in example
Sample. Fictional business, fictional client.
CLIENT GROUPS: Two to four weeks past their usual rebooking window; two to four months past it; more than six months since the last visit. BOOKING PATH: Book with your provider in our booking app, or reply to this text with a day that works. RETURNING CLIENT OFFER: none MY TONE: Easy, friendly, never pushy.
What you should get back
- A text and an email for each group, with first-name fill-ins
- No treatment, area or product named anywhere
- Softer wording for clients who have been away longer, with an easy no thanks
- No invented offer and no claim about results
What stays with you
The prompt writes a draft. You decide what happens to it, and nothing should reach a client until you have read it. Decisions about money stay with a person every time, and so do health questions and complaints. When KeenHand builds a routine like this, every message carries the same four decisions: Automate, Approve, Revise, Reject.

- Offer a provider's open slot to your waitlist. A short message that offers a provider's last-minute opening to the right people on your waitlist, first reply first, with no treatment named.
- Ask for a review without naming the treatment. A review request after each visit that lets the client keep their treatment private and never offers anything in return.
- Rebook a client who missed their appointment. A same-day note to a client who did not show, offering a new time, in two versions: one applies your no-show fee and one waives it. You choose.
